Booking & Quotes
How does booking work?
Choose a service, enter your pickup and drop-off details, the date and time, and the number of passengers and bags, then submit the request. You will receive an email with a reference number. The request is pending until a member of the team reviews it, checks vehicle availability and confirms it in writing. Only a confirmed request is a booking. If anything about the trip needs clarification, we will contact you before confirming. Changes after confirmation are handled directly with the team by email or phone.
How do quotes work?
Many trips display an estimate based on published rates for the selected vehicle and service. Estimates marked as starting prices are indicative and are confirmed by the team before a booking is final. Some services, including funeral, group and custom requests, are quoted individually. For those, submit the details and we will reply with a written quote. A quote is valid for the trip described; changes to the route, timing, number of stops or passengers may change the final figure, as the Rates page explains.
What happens at pickup and drop-off?
Your chauffeur arrives a few minutes before the scheduled time and waits at the pickup address without calling attention to the car. You will receive a message with the chauffeur's name and the vehicle. On arrival at your destination, the chauffeur stops at the most convenient safe point and assists with luggage. If the building has a specific entrance or the address is hard to find, add a note to your request and the chauffeur will be briefed in advance.
Can I add an extra stop?
Yes. Add stops when you request the car so the route and timing can be planned. A brief stop along the way, such as picking up a colleague, is handled as an extra stop and priced as shown on the Rates page. Stops that involve significant waiting or a long detour may be better served by hourly service. Unplanned stops requested during the trip are accommodated when time allows and are reflected in the final total.
Can you handle last-minute requests?
Often, yes. Requests with less than the usual advance notice are reviewed as quickly as possible, subject to vehicle and chauffeur availability. For same-day trips, call us rather than relying on the form alone so we can confirm immediately. Airport pickups, early mornings and weekend evenings are the times when availability is tightest, so notice helps. A last-minute request is still pending until it has been confirmed.
Do you offer round trips?
Yes. Select the round-trip option and enter both the outbound and return times. Each leg is scheduled and confirmed separately so that a change to one does not affect the other. For a return on a different day, or when the return time is uncertain, add a note and we will plan accordingly. For airport round trips, share both flight numbers so each pickup can be tracked.
Airport Pickups
How do airport pickups work?
Provide your flight number when you book. Your chauffeur monitors the flight and adjusts the pickup time if it lands early or late. Once you have landed, the chauffeur confirms the exact pickup point by text. At DCA, IAD and BWI, chauffeured vehicles meet passengers at designated commercial areas rather than the general curb, and the chauffeur will guide you to it. If you prefer to be met inside the terminal, request meet-and-greet when you book. A grace period after landing is included with every airport pickup.
Why do you ask for my flight number?
The flight number lets your chauffeur follow the actual arrival rather than the scheduled time. Flights often land early or late, and gate changes happen. With the number in hand, we adjust the pickup automatically and you are not asked to call when you land. It also tells us which terminal and baggage claim to expect, which matters at a large airport like Dulles. For departures, it helps us plan the pickup time around your airline's terminal and check-in.
What does meet-and-greet mean?
With meet-and-greet, your chauffeur parks and comes inside the terminal to meet you, usually at baggage claim or the international arrivals hall, holding a discreet sign with your name. The chauffeur assists with luggage and walks you to the vehicle. It is a helpful option for first-time visitors, families, older travelers and anyone arriving from a long international flight. Meet-and-greet is requested at booking, and any fee is listed on the Rates page. Without it, pickups are curbside at a point confirmed by text.
Vehicles & Capacity
How many passengers can each vehicle carry?
Seating varies by vehicle. Each vehicle page lists the number of passengers it carries comfortably, along with luggage capacity. As a general guide, the Cadillac Escalade IQL is the choice for groups and families, while the Alfa Romeo Stelvio Ti suits one to a few passengers. When you enter the number of passengers in your request, only suitable vehicles are offered. If your group is larger than a single vehicle allows, contact us about coordinating more than one car.
How much luggage fits?
Each vehicle page lists a luggage figure based on standard checked suitcases. Carry-on bags and soft items take less space, while golf bags, strollers, skis and oversized cases take more. When you tell us the number of bags in your request, we match the vehicle accordingly. If you are traveling with unusual items, mention them in the notes so we can confirm they fit before the day. Passengers and luggage share the cabin, so a full car with full bags may call for a larger vehicle.
Do you provide child seats?
Child seats can be requested when you book. Please tell us the age and approximate weight of each child so we can provide a suitable seat, and note that a fee may apply as listed on the Rates page. Parents are welcome to bring their own seat; the chauffeur will help with installation, but the parent remains responsible for fitting it correctly. Children must be secured according to the law in the state where the trip takes place.
Pricing & Payment
Is there a minimum for hourly service?
Yes. Hourly bookings are subject to a minimum number of hours, which is shown on the Rates page alongside the hourly rate for each vehicle. Time is counted from the scheduled start until the final drop-off, and partial hours beyond the minimum are treated as described on that page. If you are unsure whether hourly or point-to-point service is the better fit for your plans, describe the day in your request and we will recommend one.
How is waiting time handled?
A short grace period is included with every pickup, and a longer one applies to airport arrivals so that baggage and customs do not count against you. Beyond that, waiting time is charged in increments as set out on the Rates page. For hourly bookings, waiting is simply part of the reserved time. If you know in advance that the chauffeur will need to wait, for example during an appointment, tell us so we can plan and quote accordingly.
How do I pay?
Payment terms are shown at the time of confirmation. Depending on the service, a card may be held to secure the booking, with the balance charged after the trip once any waiting time, extra stops, tolls and parking are known. Individually quoted trips, such as weddings and multi-day itineraries, may require a deposit. Receipts are sent by email. Corporate accounts with consolidated invoicing are available on request.
Is gratuity included?
Whether gratuity is included in the total depends on the configuration shown on the Rates page and on your confirmation. Where it is not included, gratuity is at your discretion and may be added at the time of payment or given directly to the chauffeur. Our chauffeurs do not solicit tips. If you are unsure whether it has been included, the itemized estimate or your confirmation email will make it clear.
Policies
What is your cancellation policy?
Cancellations made with adequate notice are accepted without charge; cancellations closer to the pickup time may be subject to a fee, and no-shows are charged in full. The notice periods and any fees are set out in our Cancellation Policy, which you will see at booking. Special events, weddings and multi-vehicle bookings may have longer notice requirements. To cancel or change a booking, contact us by email or phone with your reference number and we will confirm the change in writing.
What happens if my vehicle is unavailable?
On rare occasions a vehicle may be unavailable because of a mechanical issue, an accident or an earlier trip that has overrun. If that happens, we will provide a vehicle of similar or higher standard at no additional cost, or offer you the choice of a price adjustment or cancellation without charge where only a vehicle of a lower standard is available. We will contact you as soon as a substitution is known. Our Vehicle Substitution Policy sets out the details.
Can you accommodate accessibility requests?
Please tell us about any accessibility needs when you book, such as assistance with walking, a folding wheelchair or walker, a service animal or extra time at pickup and drop-off. Our chauffeurs are glad to help with boarding and luggage. Our vehicles are standard luxury SUVs and are not equipped with wheelchair lifts; if a lift-equipped vehicle is required, we will say so honestly and suggest alternatives. Our Accessibility Statement describes our approach in more detail.
Service Area
Where do you operate?
We serve Washington, DC, Maryland and Northern Virginia, including the District, Montgomery and Prince George's counties, Arlington, Alexandria, Fairfax and Loudoun counties, and the three regional airports: DCA, IAD and BWI. Long-distance trips to Baltimore, Annapolis, Richmond, Philadelphia and other Mid-Atlantic destinations are available on request. If your pickup or destination falls outside the area, submit the request anyway; we will let you know whether we can help.
Contact
How do I contact Quiet Black Limousine?
The Contact page lists our phone number and email address, and the contact form is available for general, corporate and event inquiries. For changes to an existing booking, reply to your confirmation email or call us and quote your reference number. On the day of travel, your chauffeur's number is shared in advance so you can reach them directly. We aim to answer messages promptly during our stated hours.
Do you offer corporate accounts?
Corporate accounts are available on request. They suit companies, law firms, embassies and organizations that arrange regular travel for executives, clients or visiting guests. An account allows assistants and travel coordinators to request cars on behalf of travelers, with consolidated invoicing and a single point of contact. Use the corporate inquiry option on the Contact page and we will follow up to discuss what you need.
